Job Description: Part time Administrative Assistant: 20 hours per week (Mon, Tues, 1/2 day on Wed)

  • Answer main phone
    • Retrieve VM messages
    • Email messages to receiptant
  • Fedex drop offs and scheduling a pick up
  • Greet Guests
    • Offer coffee, water etc.
    • Escort to meeting room
  • Kitchen duties
    • water in fridge, stock silverware etc
  • Sort & distribute mail
  • Office supplies -include GR office as needed/monthly
  • Copiers maintenance
    • Order toner
    • Call for service
    • Add/edit names (scanner)
    • Change toner
  • Administrative support
  • TV monitor announcements
  • Business card orders
  • Monthly Table talk reservations/changes
  • Lunch accommodations for meetings etc
    • Order and receive lunch deliveries
    • Set up and clean up
  • Misc errands as needed
  • Update distribution list monthly/ as needed

 

Minimum Qualifications:
  • Must have scheduling experience and must be very comfortable using Outlook
  • Must be a reliable person
  • Professional demeanor and phone values
  • High attention to detail
  • 3-5 years of Administrative experience

Office Manager

Job Description:  

  • Ensure the smooth running of the office and help to improve company procedures and day-to-day operations
  • Greet office visitors and providing general administrative support
  • Coordinate kitchen and office supplies
  • Manage support for Association equipment (laptops, projectors, etc) and monthly maintenance and leases (postage machine)
  • Oversee building / office maintenance needs and recycling
  • Assist with set up of regularly scheduled membership meetings
  • Coordinate supplies and set up for onsite meetings
  • Process incoming mail, manage general email account and voice messages
  • Manage all aspects of logistics for trainings
  • General accounting, including processing Accounts Payable and other accounting duties

Minimum Qualifications:
  • High School degree; additional qualification as an Administrative Assistant a plus
  • Previous experience with ordering supplies, customer service, facilities maintenance and management, purchasing / office machinery
  • Analytical Skills: How can the company save money? Are we getting the most out of our printer? You will be in charge of identifying inefficiencies and cost-savings as part of your day-to-day job
  • Proficiency in MS Office
  • Hands on experience with office machines (e.g. fax machines and printers)

  • Excellent written and verbal communication skills
